Global Shipping Coordinator

Key Objectives of the role: 

Shipment Management -  Ownership of the shipments outbound, in all modes Road, Sea and Air

Expedite -  goods ready date through purchasing or 3pl co-ordinators

Information Management - providing and inputting required information to various systems to enable shipments to be tracked and reported on

Document Management – to raise all required documentation for Global shipments and ensure all paperwork raised is fully HMRC/ DG and customer compliant

OTIF – report back to relevant parties if shipments are going to arrive later than planed  

Cost – manage cost of shipments with forwarders, obtain quotes when required

Knowledge – work to and advise on latest HMRC/ Customs updates


Key Tasks


  • Work with Freight forwarders to deliver stock on time to customers / 3pl and subcontractors to achieve company OTIF KPI
  • Regularly review freight forwarder bank and provide feedback to then on a regular basis on performance and company growth
  • Use software to create container plans of shipment size in line with requirements for FOB shipments and outgoing supply
  • Ensure all paperwork generated fall in line with Customer / DG and HMRC requirements
  • Ensure that goods clear through customs and that correct level of duty and vat is paid
  • Update all relevant parties should delivery be tracking late and advise on correct actions if available
  • Obtain accurate quotes for all shipments and advise to relevant parties
  • Work with Supplier/ 3pl and Far east office to ensure goods ready , ciq  and consignment details are completed on time for notification of collection from Freight Forwarder
  • Work with Supplier / Customer systems to book incoming freight
  • Maintain quotewerks system so delivery can be tracked, and reports raised
  • Obtain quotes and director sign off for all Air shipments
  • Keep tariff database up to date for all products and when changes in legislation occur
  • Customs entry checking
  • Invoice checking
  • Keep paperwork in a logical manager as required for customs audits
  • Erect and maintain origin of goods database
  • To track all Export deliveries to ensure goods arrive on time and ensure all POD’s are collated within a 48hour period from delivery
  • Advise budget figures for shipping


Qualifications & Experience Requirements:

  • Educated to minimum of “A” level standard
  • Mathematically astute with a good standard of English language
  • PC literate including all Microsoft applications
  • Relevant previous experience in Shipping
